SoftSoul Privacy Policy

Last updated: 20 October 2026

Who we are

SoftSoul is operated by Artyom Hudolij, an individual based in the United Kingdom, who is the data controller for your information. Contact: softsoul.app@gmail.com.

SoftSoul is registered with the UK Information Commissioner’s Office (ICO) as a data controller, registration number ZC279305.

What SoftSoul is

SoftSoul is an AI companion for conversation, journalling and tracking how you feel. It is not a medical service, not therapy, and does not provide medical or mental health advice. SoftSoul is an AI and will always say so.

What we collect

Sensitive information

Conversations with SoftSoul may include information about your health or wellbeing. We only process this with your explicit consent, which you give when you create your account. You can withdraw consent at any time by deleting your account.

Memories

If you turn Memory on, Soul may remember things you tell it about people in your life, including health information such as an operation or an illness. This can include your children, for example their names, ages and birthdays, if you mention them. This helps make your conversations more personal.

This information comes only from what you say. Like your messages, it is processed by the service providers listed below so Soul can reply, and we never sell it or use it for advertising.

Dated health events are deleted automatically 30 days after their date.

You can view and delete any memory, or all memories, in Manage Memories. You can also ask Soul to forget a person.

Soul never saves memories about suicide, self-harm, eating disorders or abuse.

Your week (weekly summary)

Every Sunday evening SoftSoul prepares a short summary of your week, which only you can see in the app. It always uses your mood entries for that week; this is worked out on our server, without AI.

Only if you switch them on (in setup or in Profile → Your week, both off by default), it can also use that week’s messages you wrote to Soul and/or your journal entries and mood notes. They are sent to Anthropic once a week to write a few sentences about how your week went. You can switch either one off at any time; this also removes what was written from it in past summaries.

Why we use your information

To provide SoftSoul’s features; to keep conversations safe, including directing you to real help if you may be at risk; to understand how SoftSoul is used and what it costs to run; and to fix problems.

We do not sell your information, use it for advertising, or make decisions about you with legal or similarly significant effects.

AI processing

SoftSoul uses outside AI services to reply to you. We only send them what they need for that job, and we ask your explicit permission before any of your information is sent to them.

Service What it receives Why
Anthropic (Claude) Your messages, the words of your calls, the memories and context Soul uses (such as your name, today’s chat, calendar events and the weather) Soul’s text replies, saving memories, check-in messages, the safety check on each message, your weekly summary (only the parts you allowed), and answering your questions in the Help assistant (only the question and the last few help messages, never your chats or memories)
OpenAI During voice calls: your voice, and the same context Soul uses for text. Occasionally messages, if a memory needs a backup check Voice calls (hearing, thinking and speaking) and Soul’s spoken voice
LiveKit Live call audio Carrying the call between your phone and Soul
Deepgram and Cartesia (through LiveKit) Live call audio and Soul’s spoken words, in some calls Turning speech into text and text into speech

These companies process your information to provide their service to us and may keep it for limited periods under their terms, for example to detect abuse. Anthropic and OpenAI do not use information sent through their business services to train their models.

Offline Soul: if you download the offline model, replies without internet are made entirely on your phone. Those lines are sent to our server when you are back online, so they appear in your chat like any other message.

Who we share information with

Only service providers who help us run SoftSoul:

We share nothing else unless required by law.

Where your information is stored

Our database is in Ireland, our servers are in Germany and our encryption keys are managed in Sweden, all in the EU. Our AI and voice providers (Anthropic, OpenAI, LiveKit, Deepgram and Cartesia) and our email provider (Resend) may process information in the United States and other countries. Where information leaves the UK, we rely on appropriate safeguards recognised under UK data protection law.

How we keep it safe

Your conversations, journal, mood notes, memories, calendar event titles and weekly summaries are stored encrypted, each account with its own key. The keys that protect them are themselves locked by a key management service (Amazon Web Services), so someone with access to our database alone cannot read them, and our staff do not read them. Other details, such as your name, city and “Contact us” messages, are protected by our normal database security but not by this extra encryption.

This is not end-to-end encryption. Our server unlocks your information when it is needed to provide SoftSoul, for example to write Soul’s reply, and the AI services listed above receive what they need to do their job.

How long we keep it

We keep your information while your account exists. Detailed safety records are anonymised after 30 days. Weekly summaries are kept until you delete them with your account. Messages you send with “Contact us” are kept while your account exists and are deleted with it; the copy in our support inbox is deleted when we no longer need it, normally within 12 months. Calendar events are deleted 4 days after they end, and all of them when you switch Calendar off. Disconnecting Apple Music or Spotify deletes what we received from it and the taste memories made from it. When you delete your account, everything is permanently removed after a 7-day grace period. Limited copies may remain temporarily in backups or service providers’ logs until their normal retention periods end.

Deleting your account

Go to Profile, then Delete my account. Your account is suspended immediately and permanently deleted after 7 days. Signing back in during those 7 days lets you cancel. If you cannot access your account, email us.

Your rights

You can ask to access, correct, delete, restrict or receive a copy of your information, object to how we use it, or withdraw consent. Email softsoul.app@gmail.com. We will respond within one month.

You can withdraw your permission for AI processing at any time by deleting your account, because SoftSoul cannot reply to you without it.

You can also complain to the Information Commissioner’s Office at ico.org.uk.

Age

SoftSoul is for people aged 18 and over. We do not knowingly collect information from anyone under 18.

As part of the safety check on each message and call, SoftSoul looks for clear signs that the person is under 18, such as stating their age or school year. If it finds one, the account is paused, and it is deleted after 30 days unless we confirm it was a mistake. For this we keep only how clear the sign was, the type of reason and the time, never the message itself. If your account was paused by mistake, email us.

If you are in crisis

SoftSoul is not an emergency service. If you are in immediate danger, contact your local emergency services. In the UK and Ireland, Samaritans are available on 116 123.

Changes

If we change this policy, we will update the date above and tell you in the app if the change is significant.
